This documentation is a step-by-step guide to making the most of Appy. The guide is made so everyone can use Appy, no matter what your experience is with discord bots.\
It will take you through Appy as an application bot, but also some of the other functions that Appy has to offer.

# Set up

Appy is super easy to set up and it will only take a few minutes before the applications start flying in. Then start building your staff by accepting or rejecting the many applications and let Appy add and remove roles automatically as you choose.

# Invite Appy

It's super easy to invite Appy bot to your server. I'll here guide you through inviting Appy to your server in 4 easy steps.&#x20;

## 1. Click the link

## 2. Select a server

After you have clicked the link, you must now choose which server you want to invite Appy onto.

## 3. Choose bot permission

# Dashboard

The dashboard is the core of being able to create application forms.

In order to create good application forms, it is important that you understand and can navigate in Appy's dashboard. The next few pages will step-to-step guide you through the dashboard, so you will be able to use it while you sleep.

## Logging in

When you invite Appy bot to your server, a dashboard will automatically be created for that server. This makes it easier when you have to use it for the first time.

To log in to the dashboard, click the link below:&#x20;

1. Click on Login at the right top corner
2. Log in with your discord account

## Choose your server

When you are logged in, you will be able to see an overview of the servers you are owner of or have the permission to use bot, that use Appy.

Here you must choose which server you want to use Appy on and then click <mark style="color:yellow;">Configure.</mark>&#x20;

## Server overview

As you can see above, the first page is divided into 3 sections.\
Its very easy to understand:

* <mark style="background-color:green;">**GREEN**</mark>**&#x20;- The sidebar.** \
  This one will always be displayed no matter where you are on the dashboard. In the sidebar, you will be able to choose the many features that Appy offers. Hold your move over the feature in the sidebar to read about what its.&#x20;
* <mark style="background-color:red;">**RED**</mark>**&#x20;- Server stats.**\
  &#x20;Here you will quickly get an overview of how many applications on a given server have been - accepted and denied. It also shows you whether you have any pending applications waiting to be processed.
* <mark style="background-color:blue;">**BLUE**</mark> **- Help section.**\
  The blue section will in the future contain guides, bot info and other things that could be helpful on the dashboard.

## Logs

Logging is useful, especially if there are several of you helping each other to create applications, panels or other things on the dashboard.\
To find logging, go to the left sidebar and tap "***Logs***". \
This will show you a page that describes:

* CreatedAt: When the thing was changed/created/deleted.&#x20;
* UserID: The users ID, who have made som changes on the dashboard.&#x20;
* Username: The name of the user who made the changes.
* Action: What is changed.&#x20;


# Applications forms

You are seeking for new staff, it can be a new moderator, staff chief, supporter, a new member for your gaming clan or anything else you need to have control over who you let in. Appys applications is the right choice for this.

## What is an application form?

An application form gives you control over who you approve for certain things on your server. This can be anything from staff jobs, to game members, various discord roles or anything else that just fits into your community.

Appy's application forms allow your members to easily apply for what you are looking for, while the applications will be displayed for you and your staff members in a clear way, with the possibility to accept or deny them.

## The Application overview

In order to understand applications and how to create/edit applications, you must first understand the application overview.\
The Application overview is divided into 3 sections as seen above.

* <mark style="background-color:green;">**GREEN**</mark>**&#x20;- The sidebar.** \
  This one will always be displayed no matter where you are on the dashboard. In the sidebar, you will be able to choose the many features that Appy offers. Hold your move over the feature in the sidebar to read about what its. In this case, select **Applications**.&#x20;
* <mark style="background-color:red;">**RED**</mark>**&#x20;- Applications overview.** \
  This section is for creating new application forms, viewing your application forms and deleting application forms.
* <mark style="background-color:blue;">**BLUE**</mark>**&#x20;- Applications options.** \
  In this section you can edit your application forms. There are various things that can be edited for application forms. It is also from here that you can create questions, tell the bot to give/remove roles and so much more.

## How to make an Application form

Applications forms is easy and very user-friendly to set up. With only a few steps you have made your first application and your members is ready to apply at your server.&#x20;

### 1. Make a new Application

To create a new application, visit the [appy dashboard](https://appybot.xyz/dashboard), login and select your server. write the name of the application and then press "New Application"&#x20;

### 2. Fill out the applications data

When you want to create a Application, you must fill in some data so that Appy is aware of what you want it to do.

#### Normale features:

1. **Enable:** This one used to Enable/disable, its very usefull if you want to wait a week or so before your members can apply to this application. It can also be disable if you just want to close the application for some time, withour deleting it. &#x20;
2. **Application Name:** You can edit the applications name.
3. **Logging channel:** The logging channel is a channel where all the filled and submitted applications will go, and will be stored to be accepted/denied by you or your staff members. You can choose to set the permissions so that only you and your staff can see this, or make it open so everyone can see it. To change private/open permissions, must this be done in the channel settings on your server.
4. **Staff Threads:** If you want your logging channel to look clean and only contain the submitted applications. You can activate Staff Threads, so you and your staff members have a possibility to chat about the applications.&#x20;
5. **Completion message:** Use this if you want to send a personal messages to the user who have just completed an application.
6. **Accepted Message:** Use this if you want to send a personal messages to the user you just accepted.&#x20;
7. **Denied message:** Use this if you want to send a personal message to the user you just denied.
8. **Restricted roles:** Here you can select the roles on your server that are not allowed to use the application. \* *If you have selected several Restricted roles, please note that if they only have one of these roles, they cannot apply.*
9. **Required roles:** Here you can select the roles that are required to be able to apply. \**If you have selected several Required roles, the user mush have all of them to apply.*&#x20;
10. **Accepted roles:** The roles an applicant will be given when their application is accepted.
11. **Denied roles:** The roles an applicant will be given when their application is denied.
12. **Ping roles:** The roles which are pinged when an application is made (useful for pinging staff!).
13. **Accepted removal roles:** The roles which will be removed when an applicant is accepted.
14. **Denied removal roles:** The roles which will be removed when an applicant is denied

1. **Application manager roles:** If you have set your logging channel to be open for the other users then your staff members, but would like to decide for youself who can accept/deny the applications. If you have not set any roles in this, everyone on the server can process the applications.
2. **Application cooldown:** How often someone can re-apply to the application. Cooldown (In seconds)

### 3. Questions

You have made it through the data, now its time to make some quesions. \
There is two types of question you can make:&#x20;

* Ordinary questions
* Multiple choice questions

#### The ordinary questions

The ordinary questions are questions where the applicant must answer text-based. They have freedom to answer the question and have the option to write a few words or a whole novel.

#### The multiple choice questions

The multiple choice questions are questions where you choose the answer options. These questions are good for getting answers to specific things, where the applicant does not need to write anything, but instead has the opportunity to choose between options you have chosen.

### 4. Save

&#x20;Click ![](/files/j1i2pbQGM2ryeQyC8d5K) to save your progress, and the application will be saved. \
When the application is **Saved** and **Enabled** the users can now apply to the application.&#x20;

# Panels

You have now made an application form and would like to post it so that is displayed for your members.

## What is a Panel?&#x20;

With a Panel you can show which open application forms you have, this provides an easier overview for your members.\

## How to set up a Panel&#x20;

It is super easy to set up a panel, with 3 **steps** you can display your application forms on your discord and your memebers can start applying through panels.

### 1. Make a new Panel

To create a new panel, write the name of the Panel and then press "New Panel"&#x20;

When you want to create a Panel, you must fill in some data so that Appy is aware of what you want it to do.

#### Normale features:

1. **Name:** You can edit the panels name.
2. **Description:** Make a description for the panel.&#x20;
3. **Channel:** The channel is where the panel is sent to. *The members you think should be able to see the panel have access to this channel.*
4. **Applications:** Under Applications, you choose the applications forms you want to be displayed in the panel.&#x20;

1. **Panel footer:** Panel footer is the footer of the panel. Use this block if you have a final comment for your panel.
2. **Panel Image:** Panel image is the image of the panel, that will be posted with the panel embed. (Must be a valid image URL)
3. **Button Panel:** Choose whether your members should select the applications through buttons or drop down menu.
4. **Panel Color:** Panel color is the color of the sidebar when its send to discord.&#x20;
5. **Panel type:** Panel type allows you to change the interaction type to use a dropdown menu or buttons

### 3. Send the panel

You have now filled out the panel data and are ready to post it. \

Click ![](/files/tgkmqtL6DTRHAJlLdjLJ) to send your panel to the channel you have set.&#x20;

You are now done and have sent your panel out on your discord. Your memebers can now use the panel to find and apply through.&#x20;

# How to apply

You have seen that new staff, new members or other things are being sought. You're ready to apply, but how do you do it?

**There are two ways to apply:**

* Use the slash command
* Use the panel

## Apply through slash command

Slash commands are smart, fast and easy to use.\
You can apply to all applications that are enabled by using the slash command.

### How to use /apply

To apply through the slash command:&#x20;

1. Write `/apply`
2. Choose which application you want to apply to
3. Hit enter
4. Appy will now send you a DM

## Apply through a Panel

The panel is a easy way to see when the server have a application open and pick the right one without using the slash command.&#x20;

The applications creator have to make a panel, before it will be posted your discord. If there is no panel, you have to apply through the [slash-command.](#apply-through-slash-command)&#x20;

### How to use a Panel

To apply through a panel with **drop down menu:**&#x20;

1. Click the drop down "Make a selection"
2. Choose the application you want to apply to
3. Apply will now send you a DM

To apply through a panel with **buttons:**

1. Click the button with the titel of the application you want to apply for
2. Apply with now send you a DM.

# Polls

With Appy bot you can set up real-time results polls. \
Polls are incredibly useful for doing surveys on your server, for getting knowledge from your members or you can use polls in connection with applications if there are several of you who have an opinion in one or more specific applications.

Appys live polls is extremely useful in connection with an application where there are several people, who have to help decide whether the applicant should be approved or rejected.

## How to use Polls?

To create a poll you have to use a `slash` command in this case <mark style="color:yellow;">`/poll`</mark>

To set up a poll you will have to:&#x20;

1. Go to your discord.&#x20;
2. Write `/poll` and a poll command will show from Appy.&#x20;
3. Then select which channel you want the poll to take place in.
4. Ask your question
5. Write your answer options. It is possible to add up to 9 answer options.
6. Choose if the users can multiple vote
7. Hit enter and your poll will be posted.

# Custom bot

First, head on over to the appy dashboard by [clicking here](https://appybot.xyz/dashboard?selected=customInstance)

Once done, you will see the following page. Now its time to start configuring your bot, see below for more details

## Creating the app

First, kick the main Appy bot from your server (don't worry, your server settings wont be deleted). Once done, visit the discord developer page by [clicking here](https://discord.com/developers/applications)

### Click the new application button:

Fill out the contents of the form and click create:

Head on over to the "bot" page and enable the circled intents.

## Setting up OAuth callbacks

The next step is to setup the oauth callback so that you can invite the bot to your server. Head on over to the "oauth" page and copy the following url into the redirects box: `https://appy.bot/callback/discord`&#x20;

## Obtaining the bot token

Head on over to the "bot" tab, and you'll see your token. Copy this and paste it into the appy website

# Ticket setup

Setup guide for Appy tickets

By following this guide you must have `Administrator`permission and Appy must be invited to your server.

## Step one

Visit the [Appy website](https://appybot.xyz/dashboard) and select the server which you want to configure.

## Step 2:

Once you have selected select the "ticket templates" option in the side navbar. A ticket template is what is used to configure your ticket, it has different options such as specifying actions whenever a user leaves, pinging support roles and setting up ticket categories/logging.

## Step 3

The next step is to create a ticket template, you can do this by writing the ticket name in the text input and clicking "new ticket template"

## Step 4

Fill out the required settings.&#x20;

* Name: this is the name of the ticket, eg support ticket
* Ticket category: the category channel that user created tickets will be made under
* Ticket logging channel: The channel where closed tickets will be sent too (transcripts)
* Support team roles: Anyone with these roles can view tickets and close them &#x20;

Once you have filled out the necesary information click the save button at the bottom of your screen.

## Step 5

Now that you have made your ticket template, it is now time to send it to your discord server. You can do this by navigating over to the "Ticket panels" section on the side navbar.

## Step 6

Create a ticket panel and fill out the necessary information. You'll now be able to select a ticket template in the `linked tickets`dropdown. Then, click `save`and then click the `send panel`button at the bottom of your page.&#x20;

This setting allows you to perform specific actions whenever a user who has an active ticket leaves the server.

## Why is Appy sending this?

If you have a closed DM, then Appy cannot send you the application form and an error will therefore occur.

## How to fix it?

There are a couple of different settings which can cause this problem.

First of all, make sure you have not blocked Appy bot. If you have blocked it, unblock it and try again. If you are still having issues, read below:

1. Go to your Discord client settings
2. Click on Privacy and Safety
3. Turn on the "Allow direct messages from server members"&#x20;

If you are still having issues after this, go to the server which appy cannot dm you in and right click the server profile picture in your server navigation bar. You will see a "privacy settings" button, click this.

# Appy bot is offline

## Appy is not responding?

There can be several reasons why Appy is offline. It could be that the serves has gone down, we are restarting the server or there is maintenance on the server.

## How to fix?

First make sure the bot is online or offline.&#x20;

If the bot icon have a <mark style="color:green;">green dot</mark> the Appy Bot is online and everyone is good.&#x20;

# Role problems

What do you do if you've set the Appy bot to give or remove roles when accepting and rejecting people who have submitted an application, and it doesn't? You can find the answer to this below!

## Role to low in Hierarchy

Appy cannot give/remove roles when the bots role is too low in the hierarchy.\
What to do then?&#x20;

1. Go to your **Discord** server settings&#x20;
2. Click on **Roles**.&#x20;
3. Find and click on **Appy's role**
4. Now move Appy's role **above** the roles you want the bot to give/remove.

Another thing that can cause Appy not to grant/remove roles is role premissions. \

3. Find and click on **Appy's role**
4. Click on **Permissions**
5. Find **Manage Roles** and ensure its <mark style="color:green;">**ON**</mark>

# Application canceled

If this appears in your application, it is because you have spent too much time on it or you have been away from it for too long

If you experience this, you need to start your application over again. Fortunately, there are some tricks for this.

1. Go back to the server where the application is deployed.
2. Write: `/apply <application_name>`&#x20;
3. `You will not start the application over again.`&#x20;
4. Go to the DM from Appy and copy your answers from the canceled application and paste it into the new application at the right questions. This way it will go faster.
5. You can now start where your old application was canceled in the new application.

# Large applications

## Application was to large?

Sometimes you will find that an application was to large to be displayed in an embed. \
Click the link to Appys dashboard where you can see the application on the dashboard.&#x20;

## Why is applications to large?&#x20;

* If length of entire embed is over 6000 characters.

## Why cant my staff not see the large applications?

Not everyone has access to the dashboard and in this way can see the long applications.

How to fix it:&#x20;

* Assign the roles that need to see the applications permission to "Manage Server" at the server settings.&#x20;
* Or use the premium feature: <mark style="color:yellow;">Application manager roles.</mark>

Giving permission to "Manage Server" can be dangerous, as your users who have this permission will be able to: *`Allow members to change this server's name, switch region, view all invites, add bots to this server and create and update AutoMod rules.`*

# Empty messages

If you send your panel to a channel and it shows a blank message or if you try to fill out an application and Appy only sends blank messages, you've come to the right place.

## How to fix?

There is a simple way to fix this:&#x20;

1. Go to your discord settings
2. Click on Text and Images
3. Activate Embeds and link prewiews so its green.&#x20;

# Appy is not posting

You have made an application form and pressed save, but it does not appear on your discord. There could be several reasons for this.

## How to fix?

* You need to make a [Panel](/getting-started/set-up/panels)
* [Appy is offline](/resources/troubleshooting/appy-bot-is-offline)

# Disabled application

## Application is disabled?

If you not an admin of the server ask a member of server staff if the application should be disabled.

If you are an admin of the server you can fix this by following the steps below.

## How to fix on dashboard

1. Go to the disabled application
2. If there is a red X, then its disabled.&#x20;
3. Turn it on.&#x20;
4. Your application is now enabled and members can now apply to it.&#x20;
